May I suggest in future that we do hold a meet in Jan to plan for the following 12 months as there are no sports involved My management training taught me that Christmas and the New Year was the best time to plan for the next year As I have endeavoured explained in my emails to John, the Government has established a number of long term plans including: 1 National Disability Insurance Scheme [NDIS] 2011- 2 National Digital Economy Strategy [NDES] 2007-, (this On-line web-link was removed when checked on Thu 21 Jan 2016 so please Google NDES as only the 9 recipients and the ISP Network Solutions knew about this email) 3 National e-Health Strategy 2008- 4 2009 Local Government Community Engagement Strategy [CES] Vision 2020 5 The changing face of Volunteering (2006 $ 24.09/hr 2015 Value? 2020 Value?) Hence if we are to attract sponsorship and new members I suggest we need to ensure that the SOA web-site is up-to-date with the dates and times the 2016/17 sports start and finish throughout the years However, as Mary informed us on 01 Dec 2015, we can no longer update the SOMS website we do have to consider alternatives for "good Governance" >Adding data to SOMS was cancelled at the beginning of the year so no training >or competition data has been entered since access was denied. > >Only SOA staff can update SOMS. The next meeting is scheduled for February as there is never very much happening over Dec/Jan to warrant us getting together. It is, as always, the third Tuesday in the month, which makes it the 16th February. At this meeting we have scheduled to look at your proposals & ideas. If necessary, depending on the outcome of the proposals, we would then extend a forum out to the members: - should it be required and also - within the scope of what our region/club is here for and - relevant to our members. I am however always happy for input from the members at any time and they are always welcome to come to a meeting of their own request, should they wish to discuss a matter. Further to this, please see the table below that outlines the current committee members and their contact details. These are the members that are included on the agenda distribution list since the last AGM and outlined at the first meeting after the AGM. Could you please amend your email distribution list accordingly. SOA have been sent all of these details following the AGM and are yet to update the contact list on the website. This has been followed up. In regards to starting up sub-committees and understanding just how our committee functions effectively, I will be holding some governance training at our next meeting also to outline these processes and establish clear boundaries for all to understand and agree to. I myself and those on our committee have been involved in committees, on all 4 sides of them, for the past 20 years or more. In my time I have seen all number of mistakes made and good practices put into place and I am sure collectively we can ensure we establish a good set of practices to work by. As the current committee comprises of many that have been involved for a while and thus I recognise that you may be new to the fold and how it all works, it never hurts for us all to review the process and outline just what works best for all, plus it will give you a chance to understand the good governance practices that we will utilise to ensure we are all not running around in circles and wasting each others time… as we all know, time is a precious commodity these days. Insofar as starting up a sub-committee, please put this forward as an agenda item to be discussed by the committee also. A sub-committee would need to be in line with the charter of the club and show to be a necessity for the function of the club/region and its members. It would also need to be agreed to by the committee, along with the aim, reporting mechanisms and outcome measures. The NDIS is however an entity onto itself and the club/region can not be seen to be publishing its advice on this area as we are not in roles to be doing so. SOA itself have not completely solidified its engagement with the NDIS nor have they outlined the Club’s/Regions roles within the process. We are not in a position to be outlining and making decisions on these areas when the National body itself is not fully clear on the process either. After speaking with several people involved in the actual development and rollout of the NDIS, their personal suggestions were for SOA to take a back seat and see how the NDIS pans out in the first 12 months before establishing a place in the scheme. I myself tend to agree, as there is so much uncertainty as to how it will actually work. Why put all of the volunteers, families and athletes under undue changes and potential stress only to find out that it doesn’t really work anyway and will need to change the systems and processes all again… ?? SOA had already been through enough change and disruption over the past 24 months that another set of disruptions could be the point at which many jump ship. The wait and see approach has much merit to ensuring things can be done properly the first time….something that SOA does not have a good track record of at present. I have attached the Club Handbook that SOA distributed that is currently being reviewed, as you are aware from the workshop there will be more detail added, but it will give you a good overview of everything. I have also attached a copy of the SOA constitution for you to take a look at so you can gain a greater understanding of how the structure of SOA works. Further to this you can read the SO International rules that govern all countries and sports should you like a bit of light reading. It can be found on the SOI webpage www.specialolympics.org Can you take a look at your proposals and outline how you think they will assist with the charter of the club/region and better the experience of its members along with minimising/maintaining the workload of the committee. This will then give the committee some sort of ideas as to how you actually see it working to everyone’s benefit.
